Procedure for Requesting Visits

Date of visit: There is a place on the request form for you to indicate preferred dates for the visit. This is also an appropriate place to indicate times of the day and days of the week that are suitable. Since the lecturers are usually also teaching during the school year, the times and dates that you suggest must be considered as opening proposals in the attempt by you and the lecturer to arrive at a mutually agreeable schedule for the visit. Please be sure to allow ample time between your request and the visit date. Two months is not too much in advance. The lecturer will contact you in order to select a suitable visit date.

Selection of lecturers and topics: The titles on the lecturer list are the talks that the lecturer has prepared. It may be possible for the lecturer to modify these to better suit your needs. This should be arranged directly with the lecturer after he or she contacts you. In most cases the lecturer has indicated the grade levels or courses for which each talk is appropriate. You may indicate your preferred lecturers and topics on the request form, or you may leave the selection up to us. In the past, certain popular lecture topics and lecturers have been booked up early in the year, so do not delay in getting your requests in.

When your request is received: Upon receiving your request form, we will use the advice of your choices if feasible or otherwise make a lecturer assignment that seems appropriate. You will be mailed a notification that we have received your request and some preliminary information about planning for the visit. We then write to the chosen lecturer, enclosing a copy of your request form. When the lecturer notifies us of acceptance of the assignment, we will send you the lecturer's name. The lecturer is asked to contact you directly to complete the arrangements for the visit. You and the lecturer will work out all the details, such as whether the talk will be given to a combined audience in an auditorium or only to one or two classes, what audio-visual or other equipment might be needed, the exact timing of the talk, directions for reaching your school, etc. If you make a request and do not hear from us (or do not hear from the lecturer after we have notified you of who it is to be), please feel free to call or write to the director and inquire. After the visit, we will ask you for a brief evaluation of how it went and any suggestions you have for improving the program.
